WCCA CONDITION OF USAGE OF THE HALL/BUILDING

 

  1. The person making the booking is the person who will be held responsible for the conduct of the guests and the condition of

the hall, The hall will be opened and closed by the duty manager who will attend the hall at the start and end of your booking,

unless agreed otherwise.

  1. It is expected all users of the Community Centre and the Staff Team will treat each other with

Courtesy and respect. Aggressive behaviour or foul language will not be tolerated and will result in the removal of the group or individual and if necessary with the assistance of the Police.

  1. All Health & Safety regulations including maximum person limits must be observed ( Large Hall – 150 & Small Hall 50) You are responsible for the safety and well-being of your attendees and ask that you are particularly careful where children’s and vulnerable people are involved.

 

  1. We ask all our customers to respect the facilities in the Building. Any damages or loss should be reported immediately to Community Centre Staff/Manager. The blocking of Toilets by unsuitable items, damages to Table/Chairs will result in the Group being charged for the repairs.
  2. The Staff and Management Committee of WCCA disclaim any responsibility for any damage or loss of property belonging to any of our users.
  3. All our customers are expected to comply with the relevant Fire Regulations as displayed throughout the Building. Regular Customers are expected to participate in and cooperate with our planned evacuation and emergency procedures.
  4. The Community Centre is a Non-Smoking Building. You must not allow illegal drugs on the premises.
  5. You must tell us if you intend to provide alcohol on the premises. We will not permit the sale or provision of alcohol if it is not properly licensed, or breaches our licence, or if in our view It would not be desirable.
  6. All usage of the Community Centre should be recorded in the Booking Form at Reception prior to the Event. A copy of the Booking Form will be available to the Customers on request. All booking must end by the agreed time; you must ensure that members of your group leave the premises quietly in the evening.
  7. All Bookings involving food for Private Functions require a £100 deposit which must be paid at the time of Booking. The full Booking Fee should be paid no less then 5 working days before the Event. Whilst every effort will be made to Book for Private Functions and Sales, there will be occasions when other Groups take priority.
  8. Deposits: All Deposits will be normally refunded within 7 working days after the event. We may retain all or part of your deposit if we suffer losses or damage for which you are responsible. If our losses exceed the amount of your deposit, we may demand additional charge.

 

  1. The Customer must ensure that Parents are responsible for the behaviour of their Children. Children must not be left unsupervised at anytime inside the building. Users and hirers have responsibility for managing risks arising from their own activities when they have control of premises and should take account of any guidance relevant to their specific activity.

 

  1. Cancellations should be notified to us at least 14 days in advance. If less than 14 days’ notice of cancellation is given, any refund is entirely at the discretion of the management committee.

 

  1. WCCA does not have PPL/PRS licence in place for playing or performing music, please note that it is your responsibility to ensure that you are properly licenced for any music use taking place at your event.

 

  1. You are responsible for any loss or damage suffered by the WCCA as a consequence of your activities as a hirer. This includes (but is not restricted to) damage to the premises, garden, fixtures, fittings, furniture and equipment, call-out fees for false fire alarms, and loss of income. You are responsible for the actions of people you admit to the centre as part of your booking, or who gain access to the centre because you fail to control access properly.

 

  1. Your Equipment and Decorations: You must obtain our agreement in advance if you intend to introduce any materials or equipment into the premises (including the garden) that might introduce a safety hazard, cleaning problems or inconvenience to other users. If you intend to introduce decorations or signs into the building, you must tell us about this. Any other decorations must use temporary fittings; for example ‘BluTack’ or masking tape, and you must remove them at the end of your booking. You must not use permanent or semi-permanent fittings, for example nails, screws and staples. You must not use drawing pins for any purposes – they are easily lost and are dangerous to small children.

 

  1. Electrical Goods: If any group uses Electrical Equipment (i.e. Lamps, Music Player etc) they must bring in either of the two options: A receipt showing the equipment is less than a year old or a certificate showing the equipment was electrically tested. This proof must be presented at least 2 days before the event. Failure to do this will result in the equipment not being allowed in the premises. Gas Burners & Cylinders are not to be brought into the premises.

 

  1. Afterwards: All our customers should leave the rooms they hire in the same condition they found on arrival. After use, furniture must be returned to its proper place. If you have used furniture from another room, it must be returned to its proper place in that room. Floors should be swept, all rubbish must be taken away, or put in the industrial bin you must not pile rubbish up by the bin.

 

THE MANAGEMENT COMMITTEE RESERVE THE RIGHT TO:

 

  1. Enter the Building at anytime.
  2. Remove from the Building any person who is drunk and disorderly.
  3. Refuse a Booking on the grounds on Political implications, or where the booking may offend the values of the Community.
  4. Cancel any booking where the Hirer has neglected any of the regulations of Booking of deposit paid. No claim can be made to the Management Committee or Council in respect of such cancellation.
  5. Cancel or alter any Bookings if it is felt that the needs of the local residents can be best served by doing so.
  6. The rights will be exercised if agreement cannot be reached between the individuals/parties concerned
